Activity 12, p. 16 1. Requests, replies and informing letters are three main functional categories of a business letter. 2. The sections of a request letter are: an opening section providing the reason of the request, the request line, a thank you line. 3. The phrases used for making a request are: “I have a request to make to you about…”, “Will you be so kind as to consider my request…”, “Kindly meet my request”, “I hope that you consider our request favorably”, “I should be very graceful to you if you would…” etc. 4. The request phrase used in the Example Letter #1 is: “I should appreciate it very much if you could send me a photocopy of your paper”. 5. A section referring to the previous communication and the answer section containing the requested information are the steps of a reply letter. 6. “According to your request I enclose a photocopy of my paper: “Special considerations…””. 7. The date is mentioned in the following phrases beginning a reply letter: “We have received your letter of…”, “Thank you for your letter of…”, “We regret to learn from your letter of… that…”, “In reply to your letter of…”, “We offer apologies for the delay in answering your letter of…” 8. The ways of informing about bad news are: “We are sorry we are unable to meet your request…”, “We regret to have to remind you that…”, “We offer apologies for the delay in answering your letter of…” 9. Such phrases as: “In addition to the above…”, “In view of the above said…”, “In this connection…”, that are used in the middle of the letter refer to the information already mentioned. 10. To end a business letter such phrases are used: “Your early reply will be appreciated”, “We are looking forward to hearing from you”, “Please inform us in the shortest possible time”, “Your prompt execution of our order will be appreciated”, “We are expecting your representatives to arrive for the talks”.
